Parts / Admin Assistant

Chestertown, MD Location

About the Role:

The Parts / Admin Assistant supports the Equipment and Maintenance Department by managing parts procurement, processing invoices, maintaining work orders, and overseeing daily fuel tracking. This role is essential to keeping our fleet and shop operations running smoothly and efficiently.

Key Responsibilities:

Parts & Inventory Support

  • Order parts for work orders or equipment as needed
  • Order general inventory items as required
  • Enter ordered parts into purchase orders and receive items appropriately
  • Post parts on work orders to be received on a purchase order or out of inventory
  • Maintain accurate inventory and assist with inventory control tasks

Work Order Management

  • Create and close work orders
  • Maintain the work order log
  • Process invoices against purchase orders for work orders and/or inventory

Fuel Tracking & Procurement

  • Record fuel meter readings from each fuel pump and dial every morning
  • Calculate daily fuel usage
  • Order fuel and gas as needed

Administrative Support

  • Assist with departmental administrative tasks as assigned
  • Communicate effectively with shop staff, supervisors, and vendors

Job Requirements:

  • Basic math skills
  • Knowledge of Microsoft Excel, Windows, and Outlook
  • Strong attention to detail and accuracy
  • Ability to stay organized and manage multiple tasks
  • Reliability and the ability to work independently

Preferred Experience:

  • Basic knowledge of Viewpoint software under preferred qualifications.
  • Experience in parts ordering or inventory management
  • Prior administrative or shop support experience
  • Familiarity with purchase orders or work order systems
